Regulations relating to inspections
Regulations relating to inspections include:
- appointment of persons;
- duties of persons appointed; and
- dealing with the inspection report.
Below is a summary on how routine inspections are conducted
- All registered facilities are inspected on a six-year cycle. The initial inspection is conducted within 90 – 120 days of registration with the Council, with follow-up inspections every six years.
- 250 facilities (including veterinary and para-veterinary facilities) are selected annually for inspection. They are selected according to the year in which the facility was registered.
- A notice is sent to the 250 selected principals of veterinary facilities to inform them of the planned routine inspection.
- The SAVC administrator will contact the principal within 60 days from the date of notice. The notice will contain the inspection date (as agreed upon between the SAVC and the principal of the facility), name of the SAVC appointed inspector and an inspection self-evaluation form which the principal must complete and send back to the SAVC administration at least 14 days prior to the inspection date.
- The principal of the facility must ensure that the inspection self-evaluation form is completed timeously and that all registered veterinary and para-veterinary staff members employed at that facility are listed on the inspection self-evaluation form and registered on the Registree Portal under the facility.
- The administration team will send a reminder to the principal of the facility at least 2 days before the date of the inspection.
- On the day of the inspection, the principal of the facility must be available. Following the inspection, the SAVC appointed inspector will issue a facility inspection report within 10 days of the inspection and send it to the principal. Should there be any additional information required, the principal will be requested to submit that information before the inspection report is finalised.
- The final facility inspection report, with the principal’s feedback if required, will be submitted to the Facilities Inspection Committee for review and/or approval.
- If the facility is found compliant, the certificate of compliance will be issued to the principal of the facility and may be displayed in the facility. The certificate is valid for six-years until the next round of inspection.
- Should the facility be found non-compliant due to deficiencies identified by the committee, the principal will be informed in writing, and the certificate will not be issued until such time that the principal submits the proof of compliance within the requested timeline.
We understand that the process may impact on your time however Council still needs your cooperation in this regard, and we will endeavour to make this process as seamless as possible.
